The Administrative Assistant reports directly to the Vice President of Operations.
This position plays a pivotal role in ensuring smooth day-to-day operations of the company.
The ideal candidate will be skilled and organized with responsibility for a variety of tasks, including ensuring visitors are greeted and follow building security protocols, assists with tracking operations and maintenance and appointments.
This position will ensure sufficient supplies are maintained, assist in facilities upkeep, and providing essential assistance to the Vice President of Operations and the operations team.
MAJOR RESPONSIBLITIES:

Responsibilities:
Greet and assist visitors in a professional and friendly manner.
Answer and direct incoming calls to the appropriate personnel.
Handle general clerical duties including basic correspondence, filing, and inputting data for reports based on instructions from various members of the department or company.
Maintain a neat and organized reception area.
Assist in the processing of bills and checks.
Maintain accurate records related to financial transactions.
Collaborate with the finance team to ensure smooth financial processes.
Monitor expenses and budget in line with the finance and accounts department.
Assist in the coordination of facilities management tasks.
Address and report facility-related issues promptly.
Liaise with external vendors for maintenance services.
Monitor and replenish office supplies as needed.
Ensure cost-effective procurement of office materials.
Order supplies and manage inventory to ensure adequate stocking levels and adherence to budgetlimitations, coordinating with accounting and finance departments.
Liaise with company support vendors to ensure timely and effective services.
Monitor vendor contracts, renewals, and performance.
Collaborate with vendors to address any issues or concerns.
Provide administrative support to various departments as required.
Assist with document preparation, photocopying, and filing.
Handle incoming and outgoing mail.
Prepare reports for VP of Operations and Finance.
Act as a liaison between the VP and internal/external stakeholders.
Manage calendars for conference rooms and providing scheduling support to the Operations team.
Ensure meeting rooms are set up with necessary equipment and supplies.
POSITION'S REQUIREMENTS/EXPERIENCE/
Qualifications:
A High School Diploma or GED required.
Business school, associate degree or equivalent is a plus.
3-4 years of related experience.
Must be proficient in MS word, Excel, Power Point and the Internet.
Strong organizational and multitasking skills.
A professional appearance and telephone manner is essential.
Excellent communication and interpersonal skills.
Attention to detail and ability to maintain confidentiality.
Ability to work independently and collaboratively within a team.
Infrequent light physical effort required.
COMPENSATION:
Consistent income with base/bonus structure PHYSICAL REQUIREMENTS/WORK ENVIRONMENT In person - This position requires you to be in the office daily.
